Terms of Use

This English version is provided as a convenience translation. The legally binding version is the Spanish one; in case of any discrepancy, the Spanish version prevails.

1. Acceptance of the Terms

By accessing or using the GovEasy platform (es.goveasy.eu and related applications) you agree to be bound by these Terms of Use. If you do not agree with any of the conditions, you must stop using the service.

These terms constitute the entire agreement between you and GovEasy Technologies ("GovEasy", "we", "us") regarding your use of the platform.

2. Description of the Service

GovEasy is a private informational assistance and administrative preparation platform that helps users understand and prepare procedures before Spanish public administrations. Our services include:

  • Educational information on Spanish administrative procedures.
  • Contextual guidance on bureaucratic matters for informational purposes.
  • Tools to prepare and complete forms with user-supplied data.
  • A private digital Vault to store personal documents securely.
  • Informational alerts on the availability of appointments with public bodies.
  • Educational resources to prepare official certifications (CCSE, DGT).
  • Guides on regulations and administrative obligations.

Important notice about the nature of the service

GovEasy is a private information and assistance service. We are not and do not represent any public body and we are not officially linked to any Spanish administration. When you enable assisted authentication or automation features, they operate under your express authorisation and using your own session on official channels. Final control over the submission always belongs to the user and the competent public body. GovEasy does not act as a legal representative, authorised agent (gestor colegiado) or proxy in any procedure.

3. Registration and User Account

To access the full functionality you must register an account. By doing so, you commit to:

  • Provide truthful, accurate and up-to-date information.
  • Keep your password confidential.
  • Notify us immediately of any unauthorised use of your account.
  • Not create fake accounts or impersonate third parties.
  • Be at least 16 years old (or have parental consent if you are a minor).

You are responsible for all activity carried out with your account. GovEasy is not liable for losses arising from unauthorised use of your account.

4. Permitted Use

GovEasy is offered for personal, non-commercial, educational use. You may use the platform to:

  • Inform yourself about administrative procedures and regulations that affect you personally.
  • Prepare, complete and review forms for your own administrative matters.
  • Store and organise your personal documents in the Vault securely.
  • Access educational information on Spanish administrative procedures.
  • Study and prepare for recognised official certifications.
  • Receive information on appointment availability at public bodies.

User responsibility: You are responsible for verifying any information you provide in forms and for complying with the legal requirements applicable to your procedures. Submitting any request to public administrations is your exclusive responsibility.

5. Prohibited Uses

The following is expressly prohibited:

  • Using the platform for illegal, fraudulent, deceptive or unlawful activities under Spanish law.
  • Providing false, forged, incomplete or misleading information in forms or requests to public administrations.
  • Identity impersonation, document forgery or concealment of information relevant to official procedures.
  • Wilful non-compliance with legal, regulatory or procedural requirements.
  • Reselling, sublicensing, renting or commercially exploiting the service without written authorisation.
  • Scraping, crawling, indexing or massively extracting data from the platform.
  • Attempting to access, modify, delete or compromise systems, accounts, data of other users or servers.
  • Introducing malware, viruses, ransomware, spyware or other harmful or malicious code.
  • Overloading, interfering with, or intentionally causing denial of service (DoS) on the infrastructure.
  • Interfering with, bypassing, evading or circumventing security controls, authentication systems or technical protections.
  • Using contextual guidance to obtain binding or professional legal, tax or administrative advice.
  • Carrying out or facilitating unauthorised access to government systems or administrative databases.
  • Breaching or circumventing legal requirements, administrative resolutions or formal procedures.

6. Limitation of Liability and Disclaimer of Warranties

GovEasy acts as a private tool for information, preparation and educational guidance. Therefore, we assume no liability for:

  • Professional advice: The information provided does not constitute binding, professional or certified legal, tax, administrative or accounting advice. For professional advice, consult a lawyer, registered gestor colegiado, tax adviser or authorised consultant.
  • Regulatory accuracy: We do not guarantee the accuracy, completeness, currency or validity of information about procedures and regulations. Legislation changes frequently and it is your responsibility to verify current requirements.
  • Government decisions: We have no control over decisions by public bodies. The outcome of procedures (denial, suspension, appeal, delay) depends exclusively on public administrations, not on GovEasy.
  • Deadlines and expirations: We are not responsible for missed administrative deadlines, expirations, statute of limitations, rejections for being out of time, or consequences of delays.
  • Submission errors: We are not responsible for errors in forms, incomplete documents, incorrect information provided by the user, or administrative rejections arising from them.
  • Appointment availability: Data on appointments and availability at public bodies depend on external systems we do not control. We do not guarantee accuracy, freshness or availability of appointment information.
  • Third-party systems: GovEasy is not responsible for the operation, availability, security or operation of government systems, public portals or third-party infrastructure accessed through our service.
  • Automation: Where GovEasy uses automation, automated processes or automated processing tools, you are responsible for reviewing, verifying and validating any result before using it in official procedures.
  • Personal data: Although we implement security measures, we do not guarantee absolute confidentiality, protection against breaches or the impossibility of unauthorised access. See our Privacy Policy.
  • Regulatory interpretation: Any interpretation of regulations, requirements or procedures is informational and educational, not official. Public bodies have exclusive authority over binding interpretations.

The service is provided "as is" without implied warranties of merchantability, fitness for a particular purpose, or non-infringement of rights.

To the maximum extent permitted by law (including the Spanish Consumer and User Protection Act):GovEasy's total aggregate liability for all claims shall not exceed the amount paid by the user in the 12 months preceding the event giving rise to the damage. If the user has not paid, liability is zero. GovEasy is not liable for indirect, special, incidental, consequential or punitive damages.

7. Indemnification

You agree to indemnify, defend and hold GovEasy, its directors, employees, partners and agents harmless from any claim, demand, damage, loss, liability, cost or expense (including legal fees) arising from:

  • Your use of the GovEasy service or breach of these Terms.
  • False, incomplete, fraudulent or misleading information you provide.
  • Submission to public administrations of documents, requests or data based on GovEasy.
  • Consequences of administrative decisions (denial, sanction, fine) resulting from your submission.
  • Non-compliance with legal, regulatory or procedural requirements in administrative procedures.
  • Your negligence, recklessness, fraud or breach of legal obligations.
  • Actions by third parties, public administrations or government entities against you arising from your use of GovEasy.
  • Infringement of intellectual property rights or rights of third parties.

8. Appointment Management, Follow-up and Cancellation for Inactivity

When you activate an assisted appointment request on goveasy, you specifically agree that we may send you up to 3 actionable reminders within a 72-hour window so you can indicate whether you want to confirm, modify or cancel the started action.

  • These reminders may arrive by email, in-app notification or push, depending on your available preferences and account type.
  • A valid response is produced when you click a confirm, modify or cancel action from links or screens enabled by goveasy.
  • If the appointment has not yet been officially booked and we do not receive a valid response within the 72-hour window, we may automatically close the follow-up to avoid keeping inactive processes open.
  • If the appointment has already been officially booked and the public body has an operational management adapter, we may attempt an automatic official cancellation due to inactivity to free capacity and reduce public-body saturation.
  • When official cancellation cannot be conclusively verified or the body requires authentication or additional steps, the request may move to a review or manual-intervention state instead of being considered cancelled.
  • This acceptance applies to each appointment request in which you expressly tick the corresponding box within the activation flow.

The user remains responsible for reviewing the final status of their appointments and for acting before the competent public body when the official site requires strong authentication, additional validation or manual confirmation.

9. Plans and Payments

GovEasy offers subscription plans with different levels of access. Prices are shown on the pricing page and are subject to change with 30 days' prior notice.

  • Subscriptions renew automatically unless cancelled in advance.
  • You can cancel at any time from your profile. Access is maintained until the end of the billed period.
  • Payments are processed by Stripe and are subject to its terms and conditions.
  • VAT is included in all prices for customers in Spain.

10. Intellectual Property

All GovEasy content (texts, guides, code, design, logos) is owned by GovEasy Technologies or its licensors and is protected by intellectual property law. You may not reproduce or distribute it without express authorisation.

Documents and files you upload to your personal Vault remain your property. By uploading them you grant us only the technical licence needed to store and display them to you.

11. Service Modifications

GovEasy reserves the right to modify, suspend or discontinue any part of the service with prior notice where possible. In case of substantial changes to these Terms, we will notify you by email at least 15 days in advance.

12. Governing Law and Jurisdiction

These Terms are governed by Spanish law. For any dispute arising from use of the service, the parties submit to the Courts and Tribunals of the city of Madrid, waiving any other jurisdiction that may correspond to them.

For small-claim disputes, you can also access the European Commission online dispute resolution platform: ec.europa.eu/consumers/odr.

13. Government Authority and Administrative Interactions

The user acknowledges that:

  • GovEasy is not an administrative authority: GovEasy does not exercise public authority, is not a public body and its interpretations and guidance are not official or binding.
  • Exclusive authority of public bodies: Only Spanish public bodies are entitled to evaluate, authorise, deny or resolve administrative procedures. Their decisions are independent of GovEasy.
  • Government communications: If you receive communication from a public administration challenging your use of GovEasy, procedures, submissions or information, you must respond directly to the administration, not to GovEasy.
  • We are not an official intermediary: Although we provide information and technical tools, GovEasy is not an official intermediary, proxy, representative or gestor colegiado before administrations. Any automated action is carried out under your instruction and express authorisation, without replacing your legal representation.
  • Liability for non-compliance: If GovEasy is investigated, sanctioned or questioned by authorities, this does not affect your personal liability before administrations for information provided or procedures submitted.

14. Electronic Identification and the eIDAS Regulation

In GovEasy services involving electronic identification, document signing or submissions to public bodies, the platform operates in accordance with Regulation (EU) No 910/2014 of the European Parliament and of the Council (eIDAS) on electronic identification and trust services for electronic transactions in the internal market.

Trust services used on the platform are subject to the Levels of Assurance defined by eIDAS. For procedures requiring high-level identification, GovEasy requires the use of qualified identification means recognised by the competent authorities, including the DNIe and certificates issued by qualified Trust Service Providers included in the European Commission trust list (TSL).

Within the VeriFactu and Electronic Invoicing module, the electronic signature of documents is performed using qualified digital certificates in accordance with Article 26 of the eIDAS Regulation, guaranteeing the integrity, authenticity and non-repudiation of the records generated.

15. Regulatory Compliance and User Obligations

The user acknowledges and accepts that:

  • You are solely responsible for complying with all laws, rules and regulations applicable to your procedures.
  • GovEasy does not guarantee that use of the service ensures regulatory compliance or approval of administrative requests.
  • The submission of any request, form or document to public administrations is the exclusive act of the user.
  • The user is responsible for verifying that all information provided is truthful, complete, up to date and complies with legal requirements.
  • You do not delegate legal, tax, administrative or professional responsibility to GovEasy. You are responsible for the consequences of your submissions.
  • If there are doubts about regulatory compliance, legal requirements or procedures, you should consult qualified professionals (lawyers, registered gestores, tax advisers).

16. Marketplace of professionals (gestores, teachers and academies)

GovEasy offers a directory of independent professionals (administrative gestores, private tutors and academies) you can contact through the platform. By using the marketplace, the user acknowledges and agrees that:

  • GovEasy acts as an intermediation platform between the user and the professional. It does not provide the professional service itself and is not the employer, partner or representative of the professional.
  • Service rendered by the professional: the professional service contracted (advice, administrative management, lessons, certification preparation, etc.) is rendered directly by the professional under their sole responsibility. GovEasy is not liable for the quality, accuracy, deadlines or outcomes of that service.
  • Disclosure of data to the professional: when you submit a contact form or start a chat with a professional, the data you provide (name, email, phone, procedure or preparation of interest, message) is disclosed to the professional, who becomes an independent data controller. See the Privacy Policy for details.
  • Payment and commission: when the professional receives payment through the platform, the payment is processed via Stripe Connect: the professional is the receiving merchant and GovEasy receives a brokerage commission. The invoice for the professional service is issued by the professional to the user.
  • Disputes: any dispute regarding the professional service must be resolved directly between user and professional. GovEasy may facilitate mediation but assumes no responsibility for the outcome of the service.
  • Minimum age: the marketplace is intended for users aged 14 or older. If you are a minor, parental or guardian consent is required.
  • Services to minors provided by academies: academies and tutors that receive data or provide services to minors are responsible for applying the reinforced safeguards required by data protection law for minors.

18. Language and Translations

The authoritative and legally binding version of these Terms is the Spanish one. This English version is a courtesy translation. In case of any discrepancy or ambiguity between this English text and the Spanish version, the Spanish version shall prevail. Any other translations (Catalan, Basque, Romanian, Portuguese) are also provided for informational convenience only.
