What you should have to hand

1. Cl@ve (PIN or Permanente) to ID yourself on the sede.
2. DNI/NIE or passport scanned to PDF if you need to attach anything.
3. Your birth details: municipality and province; if you know tomo/folio, even better.
4. Proof of why they ask for it if you’re not the holder (request from the ayuntamiento, case file, etc.).
5. Authorisation and DNI if you request it on someone else’s behalf.

Documentation

1. Certificado literal de nacimiento mentioning vecindad civil (this is what works as the “cédula”).
2. Identification of the applicant: DNI/NIE or passport.
3. Proof of legitimate interest if you are not the holder (official request, resolution, power).
4. Simple authorisation signed + DNI of the holder, if you act in their name.

Step by step

1. Go to registrocivil.justicia.es and choose Certificados > Nacimiento.
2. ID yourself with Cl@ve. If you don’t have it, register first (it takes a few minutes if you use vídeo-identificación or SMS).
3. Fill in your details and select the Registro Civil of your inscription (the one for your place of birth or the Registro Civil Central if applicable).
4. In “Observaciones” write: “Solicito certificado literal de nacimiento con constancia de vecindad civil (equivalente a la cédula de beneficio local).” If you don’t include that phrase, they may issue a certificate that won’t be accepted.
5. If you aren’t the holder, attach the holder’s authorisation and the document that justifies your interest. Without that, they can reject it.
6. Choose electronic delivery (download from the sede) or postal delivery. Electronic is usually faster.
7. Send, save the receipt, and wait for the notification. If the system says your Registro is not integrated, book a cita and present the same request in the office.

Time‑saving tips

1. In the observations field, put literal and vecindad civil clearly. You avoid back-and-forth.
2. If you don’t remember your exact Registro, check the Libro de Familia or an old certificate: it often shows tomo/folio.
3. Choose electronic delivery: it usually saves several days compared with post.
4. If the site crashes or won’t load, try Chrome/Edge and one tab only with Cl@ve. Fewer errors.

Common mistakes to avoid

1. Requesting a certificado simple de nacimiento: it often doesn’t include vecindad civil and gets rejected.
2. Not proving legitimate interest if you’re not the holder: they’ll turn it down.
3. Not checking if your Registro is integrated: you might wait weeks only to be told to go presencialmente.
4. Leaving it to the last minute: some Registros take time and citas get snapped up on Mondays.
