What you need to have to hand

Step-by-step
- Go to the sede de los Registradores: https://sede.registradores.org/site/mercantil and pick Certificaciones mercantiles (if you only need a quick check: Nota simple mercantil).
- Find the company by NIF or name. If unsure, check the BORME first: https://www.boe.es/borme/.
- Choose the certification: the usual one is Vigencia y cargos. You can also request Estatutos vigentes or a certificación literal if they demand it.
- Identify yourself with Cl@ve or a certificate if you want to save data/invoice; otherwise continue as guest.
- Fill the form with your details and confirm the selected company is the correct one. Add notes if the recipient needs a specific wording.
- Pay the arancel by card. Keep the Order Nº and the receipt.
- Receive the PDF with CSV or the Registrador’s signature in 24–72 h hábiles by email. If you chose expedición en papel, wait for the provincial Registro Mercantil to tell you when to collect it.
Time-saving tips
- If it’s for a bank or a tender, request “Vigencia y cargos” directly. You’ll avoid rejection for sending a nota simple.
- Check the CIF in the BORME or on old invoices. Homonyms are the usual reason to pay twice.
- CSV is valid: the PDF with CSV is fine for electronic procedures. Only ask for paper if you need an apostilla or they explicitly require paper.
- Practical expiry: many organisations ask for certificates under 3 months old. Don’t get it too early.
- Folios moved: if the company changed province, request it at the current Registro. If you order it from the old one you’ll waste time being redirected.
Typical mistakes that can derail the process
- Ordering a nota simple when they need a certificación: it gets rejected and you pay twice.
- Picking the wrong company because of a homonym: refunds are rare.
- Not checking the current province of the Registro: delays from transfers.
- Ordering paper unnecessarily: it takes longer and sometimes you pay for courier.
- Using third-party “certificate” sites: inflated prices. The official site is the sede de Registradores.

- 5.Pay the arancel by card. Keep the receipt. If you tick “expedición en papel”, they’ll tell you if you can collect it or receive it by courier (takes longer).
- 6.You’ll get the certificate by email with CSV or the Registrador’s electronic signature in 24–72 working hours. If you asked for paper, wait for a notice from the provincial Registro Mercantil to collect it.

Heads up: nota simple does not replace a certificación
For banks, insolvency procedures, public tenders or serious formalities they usually require a “certificación literal de vigencia y cargos” with signature/CSV. The nota simple is only informative.
Practical validity limited
Many banks and administrations only accept certificates less than 3 months old. If you’re tight on timing, request the certificate when you’re about to submit it.
Apostille if it’s for abroad
If you’ll use it outside Spain, check the Apostilla de La Haya: https://www.mjusticia.gob.es/es/tramites/apostilla-haya. Paper issuance may be needed to apostille the Registrador’s signature.
Avoid expensive intermediaries
Google will show a lot of middlemen charging way too much. Use the official sede de los Registradores. If you pick the wrong company, they often won’t refund the fee.

Can I request it if I’m not a company director?
Yes. The Registro Mercantil is public. Anyone can request certifications or notas simples, paying the arancel. You don’t need authorisation, except for some very specific cases where they ask you to prove interest.
How long until they send the certificate?
Usually 24–72 working hours by email with CSV. If you request paper, it can take a few extra days depending on the Registro and courier.
Will a nota simple be enough for a bank or an administration?
Often not. They commonly ask for a certificación literal de vigencia y cargos with the Registrador’s signature. The nota simple is informative and might not be accepted.
Where do I request the certificate if the company moved province?
At the Registro Mercantil where the folio currently sits. If the folio is closed due to relocation, they’ll redirect you to the new one. Check the BORME first so you don’t pay twice.
