Step by step
- Check the census in AEAT. If the entity isn't registered as atribución de rentas or the address changed, update it in Modelo 036/037 before starting the 184.
- Log in to the Sede de la AEAT and search “Modelo 184 – Presentación”. Use Cl@ve or certificado.
- Select ejercicio and pick formulario web (few partícipes) or fichero (many records). If you use a fichero, follow the record layouts and validate first.
- Entity identification: NIF, address, IAE and mark the claves of income you will report.
- Partícipes: add them one by one. NIF, percentage (it must sum 100%), country of residence and dates. If there are non‑residents, mark them clearly.
- Incomes and withholdings: for each clave (e.g. capital inmobiliario) enter base, rendimiento neto, deductible expenses if applicable and the withholdings borne. Apportion by percentage.
- Validation: click validate. Fix errors (red) and review warnings (yellow). If something doesn't reconcile (percentages, NIF, referencia catastral), the system will block you.
- Sign and submit. Download the justificante (CSV) and the PDF. Keep them with your Excel; they save you if AEAT requests proof.
Tricks that save you time
- Build a reusable Excel with the census of partícipes and percentages so you don't redo it every year.
- If you have many records, go by fichero and validate with the checking service before signing. It avoids dumb errors.
- Reconcile with withholding certificates from banks/tenants: mismatches show up later on partners' IRPF returns.
- Ask for certificates (banks, tenants) well before January. If you wait until the 30th, you'll be rushing.
Common mistakes that can derail the process
- Percentages that don't add up to 100% or duplicate partícipe entries.
- Wrong NIF (especially foreign ones) or missing country of residence.
- Empty referencia catastral for rentals: the system will block you.
- Wrongly classified incomes (putting everything under actividades when some is capital inmobiliario) and then totals don't match 115/180/190 forms from third parties.
- Filing after the deadline: fixed penalty for informative returns. If you're late, file as soon as possible and do it before any AEAT requerimiento to reduce the impact.

- 3.Choose the ejercicio (year you are declaring) and the submission method: web form if you have a few records or fichero if you have many partícipes (use the official registration layouts and validate beforehand).
- 4.Fill in the entity details: identification, address, IAE epígrafes, and tick the income claves you will report.
- 5.Add the partícipes: NIF, percentage of participation (must total 100%), country of residence, and dates of alta/baja if they changed during the year.
- 6.Allocate the incomes and withholdings by clave/subclave: capital inmobiliario, actividades, capital mobiliario, etc. Apportion by percentage and check totals.
- 7.Validate, fix any warnings/errors, sign and submit. Download the justificante with CSV and save the PDF; Hacienda will ask for these if they audit you.

Deadline: January
You file it in January of the year following the one you declare (last working day of January, unless AEAT publishes a different calendar). If you miss it, there's a fixed penalty for informational returns; if you file voluntarily after the deadline, penalties are usually lower.
Who must file
Comunidades de bienes, sociedades civiles not subject to Impuesto sobre Sociedades and herencias yacentes that carry out activities or allocate incomes. If you're unsure because amounts are low or there was no activity, check whether any income or activity occurred; if not, you may be exempt.
Complementaria or sustitutiva
If you forgot data you can submit a complementaria (adds the missing items) or a sustitutiva (replaces the previous filing entirely). You need the justificante number of the return you're correcting.
Errors that block submission
Percentages that don't add up to 100%, wrong NIF for a partícipe, empty referencia catastral when there are rentals, or incorrectly declared residences. Validate before signing and you avoid a big headache.

Who has to file Modelo 184?
Entities in atribución de rentas: comunidades de bienes, sociedades civiles not subject to IS and herencias yacentes that distribute incomes or carry out activity. If there was activity or income attribution, you must file.
When is the 184 filed?
Every January, with data from the previous calendar year. The deadline ends the last working day of January unless AEAT publishes a different calendar.
Do I have to pay anything when filing the 184?
No. It's an informative return, with no payment. But beware of delays: fines for informative returns hurt.
Can I file it with Cl@ve?
Yes, the Sede accepts Cl@ve for many people and representatives. If signing on behalf of the entity, the most robust option is the certificado digital of the entity's NIF or a valid apoderamiento.
I messed up a percentage or a partícipe is missing, how do I fix it?
File a complementaria if you're just adding data, or a sustitutiva if you're replacing the whole return. Have the justificante of the previous filing handy to reference it.
We had no income this year, do we still have to file?
If there was activity or circumstances that keep you obliged, file with zeros. If there was no activity nor income attribution and you don't meet the obligation conditions, you might not need to file.
And if one of the partícipes is non-resident?
You still report them on the 184 indicating country of residence. The income will be attributed to them on their IRNR; the 184 only informs, it doesn't settle tax.
